Ville de Lausanne transforms purchasing processes with Stelo

Arch helps Services Industriels Lausanne deliver user-friendly SAP Fiori apps for supplier creation and purchase requisitions

Services Industriels Lausanne (SiL), part of the City of Lausanne municipal government, has worked with Arch to modernise and simplify key purchasing processes using Stelo, Arch’s SAP Fiori process platform.

As part of its wider digital transformation programme, Services Industriels Lausanne wanted to move from older manual business processes to modern SAP S/4HANA-based applications. The goal was clear: provide simple, intuitive applications for supplier creation and purchase requisitions, while still supporting the organisation’s specific process requirements.

Although standard SAP applications were initially considered, the business found that they did not fully meet its internal needs. In particular, the purchasing process required clearer in-screen messaging, a more tailored user experience, and variable approval steps to reflect the organisation’s hierarchy and business rules.

Arch was asked to rebuild the processes using Stelo. The result was a set of custom SAP Fiori applications designed around the way Services Industriels Lausanne actually works. Arch delivered applications for New Supplier, Create Purchase Requisition, and Create Substitute, together with customised Stelo inboxes and dashboards to support notifications, process visibility, and audit trail tracking.

The new applications simplify the experience for business users by removing unnecessary fields, presenting clearer validation messages, and guiding users through a logical screen flow. The New Supplier app enables business users to create suppliers with a one-step approval process, while the Create Purchase Requisition app supports variable approval levels based on business rules. The Create Substitute app allows users to nominate substitutes for managers, helping to keep processes moving when approvers are absent.

A key benefit of the Stelo solution is the way it brings process visibility into the user experience. Users can track requests through the Stelo Dashboard and Inbox, see where a request is in the process using a custom process flow diagram, and review the history of their previous requests. Administrators also gain access to a clear audit trail through the Stelo Dashboard.

Xavier Hoffer, SiL Division Manager, commented: “Stelo has really simplified the process. It’s easy to use the applications because you have only what you need.”

The project has helped Services Industriels Lausanne regain user buy-in by delivering a purchasing experience that is simpler, clearer, and better aligned with business needs. Benefits include faster supplier and purchase requisition creation, more flexible approvals, cleaner error messages, improved process visibility, accessible audit information, and reduced training effort for business users.

The customer story also highlights the value of Arch’s delivery approach. Services Industriels Lausanne praised Arch’s responsiveness, ability to translate complex requirements into a fluid user experience, and multilingual delivery capability across French and English.
